This adjunct assignment provides short-term, transitional support to the COLSA Dean's Office during the onboarding period of a new Executive Assistant. The individual in this role will perform core responsibilities of the position while receiving hands-on orientation to key duties, systems, and workflows. This is an immersive, working introduction to a high-trust role central to the administrative function of the College.
Duties/Responsibilities
Assist in managing the Dean's calendar, coordinating high-priority meetings, and communicating with stakeholders across the College and university.
Begin handling time-sensitive communications and administrative processes that require discretion, professionalism, and sound judgment.
Support active faculty personnel processes in coordination with department chairs and administrative managers, including hiring, appointment, and review workflows.
Learn and begin maintaining confidential records related to faculty and staff, including promotion and tenure materials and HR documentation.
Begin coordinating logistics for internal elections and college governance processes, ensuring compliance with university and union guidelines.
Assist in planning and delivering college events, including coordination of space, vendors, and setup.
Engage with COLSA Finance to begin handling routine purchasing, P-card reconciliation, and Dean's Office budget tracking.
Update and maintain shared contact lists, room schedules, and internal directories as needed.
Work with the Dean and Associate Deans to begin implementing standard practices and supporting college-wide initiatives.
Minimum Acceptable Education & Experience:
Bachelor's degree and 7 years of administrative experience of increasing responsibility, or equivalent combination of education and experience.
Excellent interpersonal, communication, and organizational skills.
Strong attention to detail, discretion, and professional judgment.
Proficiency with Microsoft Office and ability to learn university systems quickly.
Ability to manage tasks independently while learning on the job.
Preferred Qualifications:
Prior experience in higher education or executive-level administrative support.
Familiarity with UNH systems, COLSA structure, and academic processes.
